Occupational Summary

The Duke Office of Physician-Scientist Development (OPSD), administratively positioned within the Duke School of Medicine's Clinical and Translational Science Institute (CTSI), provides services and programs to support physician-scientists, physician-scientist trainees, and students. The mission of OPSD is empowering physician-scientists to launch successful research careers. In addition to initiatives developed by OPSD under the direction of the Associate Dean of Physician-Scientist Development and executive staff, the OPSD coordinates multiple programs and initiatives falling under several grants, such as the Burroughs Wellcome Fund Physician Scientist Institutional Award, the COVID-19 Fund to Retain Clinical Scientists collaborative, and various NIH awards.

Reporting to the Director of the Office of Physician-Scientist Development under the Associate Dean of Physician-Scientist Development, the Senior Program Coordinator will provide operational and programmatic oversight of research education and training initiatives within the purview of the OPSD, with special emphasis on summer undergraduate and medical student research programs, post-baccalaureate programs, mentorship programs, and junior faculty support programs. The OPSD Senior Program Coordinator will be responsible for handling multiple tasks and coordinate processes related to the recruitment, selection, matching, and tracking of students and trainees in OPSD-sponsored programs.

Work Performed

  • Responsible for high-level coordination across multiple projects, program organization and documentation, and planning/implementation to support alignment of goals and programmatic growth
  • Manage research education and training projects (summer research experiences for undergraduates and medical students; post-baccalaureate projects); oversee and administer application process
  • Coordinate junior faculty awards and programs by overseeing requests for applications, review committee operations, award notifications, and scholar meetings, reports and communications
  • Coordinate Concierge Career Mentoring Program, working with faculty members to pair scholars with master mentors; staff mentorship meetings and provide appropriate resource materials; track outcomes of scholars
  • Oversee and/or assist with the development and organization of poster sessions, lectures, and quarterly meetings, including venue identification, catering, coordinating with contributing partners, material preparation, and tracking activities
  • Schedule meetings, including faculty Steering Committee sessions, and track deliverables and benchmarks
  • Manage procurement card clearing, check requests, and processing of reimbursements
  • Regular communication with stakeholders both inside and outside of Duke
  • Track metrics and evaluate outcomes of research education and training programs
  • Assist with grant proposal submission as appropriate
  • Assist with curriculum development for research grants and programs as appropriate

    Minimum Qualifications

    Education

    Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

    Experience

    Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

    Skills
    • Exceptional organizational and planning skills, and attention to detail and follow-through.
    • Strong written and oral communication skills.
    • Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.
    • Demonstrated experience working with students, faculty and/or higher education experience is a plus. Strong interpersonal skills are required.
    • Experience with, or a willingness to learn, Qualtrics and REDCap.
    • Proficient in the use of PowerPoint, Excel, and Word.
    • Able to work in a team setting while also completing projects with little oversight.
    • Able to multi-task and prioritize activities according to importance and urgency, often requiring flexibility to adapt to changes.
    • Must have a demonstrated ability in efficiency and time management to work under pressure in regard to meeting regular, simultaneous deadlines for various individuals, organizations and institutions.
